The right sequence saves rebooking
A landlord’s key handover and a condo’s service-elevator slot can be harder to change than your packing schedule. Check them first, then ask movers about that window. For a house purchase with an uncertain closing, tell the provider what is confirmed and what remains conditional.
Which moves need an earlier assessment?
July 1, narrow exterior stairs, a piano, a long route and two restricted condo windows all add planning dependencies. Ask early enough to resolve those dependencies rather than treating a booking deadline as the only task.
- Send special-item photographs before accepting the scope
- Ask whether packing takes place on a separate day
- Agree how a date change affects the deposit
- Request written pickup and delivery windows

If the move is last minute
Give the actual inventory and access details immediately; do not understate them to obtain a faster yes. Consider a different date only if the lease and possession arrangements allow it. A written acceptance of the complete move is more useful than a vague verbal opening in the schedule.
Know which details must be firm enough to book
You do not need every carton packed to request quotes, but you should know the likely inventory, addresses and access. Distinguish a desired date from confirmed possession. For a condo, check the service elevator before choosing the time with the mover. If a lease or purchase is still uncertain, explain that clearly and review change terms. A booking based on an inaccessible destination does not solve the underlying uncertainty.
Use a booking confirmation checklist
Before treating the move as reserved, keep a written record of the company, service scope, date or window, addresses, payment terms and cancellation/change conditions. Check special items and packing responsibilities. A form submission is an enquiry; a verbal indication of availability still needs confirmation. If an element is unclear, resolve it before you arrange dependant services such as a technician or an elevator slot that cannot easily be changed.
What should be clear before booking?
Start enquiries while planning, but distinguish your preferred date from a confirmed reservation.
If the date changes after booking
Contact the mover promptly with the new preferred date and any changed access conditions. Ask for written confirmation of availability, the revised scope and applicable charges. Then update the property managers and other services. Keep the previous and current confirmations clearly identified. Do not assume moving the date in one calendar updates all parties or that an original deposit automatically secures any replacement date you choose.
Ask about availability when the shipment details are usable
Start the enquiry once you know the route, preferred dates and approximate shipment, then make uncertainties explicit. If the date depends on a house closing or lease handover, tell the company and ask how a later change is handled. Provide access constraints that may limit workable appointments, especially elevators, docks or shared moving days. There is no single booking lead time that guarantees every Montreal household a crew on every date. Availability depends on the actual date and service requirements. Ask what information is needed to issue a written proposal and what confirms the reservation. A submitted quote form is not that confirmation. Keep the booking document, payment terms and change conditions together, and update the company when the inventory or property conditions become clearer.
Booking readiness checklist
Prepare the details that make a date reservation useful.
| Booking detail | What to record | Decision to make |
|---|---|---|
| Confirmed date | Lease or closing date and access time. | Is the date fixed or still provisional? |
| Alternative dates | Weekday and nearby-date options. | Which alternatives can you accept? |
| Preferred time | Arrival preference and building limitations. | What window must the booking respect? |
| July 1 proximity | Exact date and flexibility around turnover. | When should you ask about availability? |
| Service level | Move-only, partial packing or full packing needs. | Is a separate preparation visit needed? |
| Special handling | Large items and access assessment photos. | Must equipment be arranged before confirming? |
| Building dependency | Elevator, dock and management approval status. | Which reservation must be secured first? |
| Change terms | Written deposit, cancellation and rescheduling terms. | What happens if your date changes? |
