Define the business inventory
Separate desks, meeting-room furniture, shelving, cartons, equipment and stock. Flag sensitive records, heavy equipment and items that need another specialist. Agree the handled scope before scheduling; a general office move does not automatically include machinery installation or data services.
Coordinate the building and departments
Assign a business contact who can make decisions. Share both loading-dock and elevator windows, security registration and receiving rules. Use a labelled floor plan to place furniture in the correct departments. Discuss an after-hours or phased schedule only after access and availability are confirmed.

Keep reopening responsibilities clear
Your IT provider should own backups, shutdown and reconnection unless another arrangement is expressly agreed. Confirm assembly, packing-material removal and inventory reconciliation in the moving scope. We coordinate the agreed transport tasks; do not interpret a quote as a blanket promise of zero downtime.
Office relocation organised around business continuity
Assign a coordinator who can approve the scope and answer questions during pickup and delivery. Build an inventory by department or destination zone, then separate transport from IT disconnection, installation and specialist work. Decide which workstations or equipment must remain available until the final stage. Label the destination locations before packing and agree the receiving order. For leased equipment or records, check the business’s own handling and authorisation requirements before including them in the shipment.
Commercial moving across Canada and the border
A business moving to another province needs the same address-level access planning as a local office, together with a transport and delivery window. A Canada–USA commercial move also requires a shipment-specific customs assessment; do not assume household personal-effects documents cover inventory for sale or business assets. Explain the type of goods and operational deadlines at enquiry stage. Use the office relocation and commercial moving guides to create a responsibility list before requesting a written proposal.
