Long-Distance Moving Checklist: Track Every Handover

For a long-distance move, track the inventory, pickup paperwork, delivery window and destination access in one file. Keep essential items outside the shipment for the entire journey.

Before pickup

Get written answers about the transport arrangement, any transfer or storage, the delivery window and the contact person during transit. Update furniture and carton counts before the crew arrives. Photograph important items and save the inventory where you can access it from your phone.

  • Check both addresses, phone contacts and postal codes
  • Separate essentials and restricted items
  • Confirm payment milestones and the claims procedure
  • Share building reservations and special handling details

While the shipment travels

Keep your contact number active. If possession changes, notify the mover before dispatch to the final building. Do not plan a lease handover or flight connection around a delivery time that has only been described as approximate. Record agreed changes in writing.

Cartons placed in clear destination room zones at delivery

At the destination

Confirm truck access, keys and permitted unloading hours again. Reconcile the numbered inventory, identify missing cartons and record visible damage before the crew leaves where practical. Retain signed paperwork and follow the written reporting deadlines.

Confirm the plan before committing to travel

Get the pickup and delivery arrangements in writing, including the relevant windows and contact process. Match those with key handover, elevator reservations and the person who will receive the goods. If you must arrive for a job or school date, separate that obligation from the shipment schedule. Plan what you will use while waiting. Your personal arrival should not depend on an unconfirmed assumption about the truck.

Close the preparation tasks in dependency order

Finalise the destination address and access first, then the inventory and requested services. Arrange packing and any appliance preparation before collection. Check storage only if the two properties cannot be synchronised. Update the mover when a dependency changes; adding packing help the day before is different from simply confirming a phone number. Use the checklist as a record of decisions rather than a list you tick without checking the agreed scope.

Keep the same item numbers from packing through delivery so the final count is usable.

Keep a receiving checklist with the essentials

Carry your inventory, contract, room plan and contact numbers. At the destination, clear the route and indicate priority placement before the first carton arrives. Reconcile numbers and note visible condition concerns. Save the agreed completion record and any outstanding tasks. Keep packing materials away from active paths as you unpack, and avoid asking the crew to move previously placed cartons repeatedly because the receiving rooms were not prepared.

Review dependencies before the final confirmation

Use the checklist in the order that decisions depend on one another. First decide the inventory, then packing and any specialist handling. Confirm the properties and access before finalising pickup and delivery. If possession dates do not align, resolve storage and the release process before collection. Ask how changes are approved and keep the final scope with your inventory. The receiving contact needs the same current list as the origin contact. Before the truck arrives, check that essentials and original documents remain with you, rooms are labelled and the loading route is clear. At delivery, use the inventory to account for cartons and furniture. Mark unresolved tasks separately from completed tasks rather than treating a downloaded form or an unanswered email as a confirmation.

Is the driving time my delivery time?

No. Loading, scheduling, agreed transfers, access and unloading also affect the delivery plan.
