Identity and document handover
Confirm the consignee, destination and contact details match the shipment records. Keep sensitive copies in the secure channel agreed with the coordinator. Retain access to your documents while travelling.
- Review the destination authority’s current instructions
- Confirm who prepares and checks each required form
- Separate personal-entry tasks from shipment tasks
- Keep goods-to-follow paperwork available where applicable
Inventory and loading
Number cartons and identify furniture. Remove goods excluded from the agreed shipment. Compare the final list with the assessed scope before loading starts. Record condition and flag pieces that require special protection.

Arrival and contingency
Confirm lawful truck access and a receiving contact at the destination. Agree what happens if clearance, keys or an elevator slot changes. Keep medication and enough essentials outside the truck for the agreed window, including planned storage.
Before you accept a transport booking
Confirm direction, traveller situation, destination address and the inventory that will actually be shipped. Identify the official guidance applicable to your case and any questions still awaiting an answer. Ask who will review the documents and whether the proposed schedule allows that work to finish. Do not leave the customs file until the final packing evening simply because the furniture is ready to travel.
- Confirm service scope, delivery window and both access plans
- Identify recent purchases and items needing separate review
- Assign a document owner and reachable shipment contact
Before the truck is loaded
Reconcile carton numbers with the final inventory, check document versions and confirm your receiving contact. Keep passports or other travel records, medicines and essentials with you. Tell the carrier about any change since assessment, including items removed or added. Photograph important furniture before protection. Review loading access at the actual departure address so the crew does not have to solve a parking conflict while the shipment paperwork is being finalised.
Keep three preparations visible
Use the checklist to verify decisions, not simply tick boxes while the document file remains incomplete.
Before you meet the delivery
Confirm possession, building reservations and room placement. Keep the inventory and your contact phone accessible. If the schedule changes, update the building manager and discuss the revised arrangement with the mover. At delivery, count and inspect before filing the records away. Keep a list of any outstanding tasks and the agreed follow-up contact; do not rely on unpacking everything weeks later to identify a missing numbered carton.
Turn each checklist line into a verified result
A cross-border checklist is useful when it records evidence, not simply intention. “Confirm building access” should lead to a reservation or written instruction. “Prepare inventory” should lead to the current numbered shipment list. “Check documents” should identify the receiving authority and any unresolved question. Add an owner and due point beside each task, especially where several family members are handling different parts of the relocation. Review the list when dates or inventory change. Do not cross out document preparation merely because a blank form has been downloaded. Keep your personal entry tasks separate from the household shipment tasks so a completed travel booking does not create a false impression that the goods are ready. Before pickup, use the worksheet below to identify anything still awaiting a decision and tell the coordinator which conditions remain open.
Cross-border completion checklist
Add an owner, due date and completion note beside each task.
| Task | Completion evidence | Final check |
|---|---|---|
| Confirm direction | Country of origin, destination and personal travel dates. | Are all contacts planning the same direction and sequence? |
| Check official requirements | Relevant agency links and questions specific to your situation. | Have you obtained answers before committing the shipment? |
| Finalize the inventory | Numbered cartons, furniture, special items and updated photos. | Can someone else identify each item from the list? |
| Review separate items | Vehicles, animals, plants and other items needing separate plans. | Have you confirmed how each will travel? |
| Prepare documents | Requested forms, signatures, copies and handoff contact. | Is the document pack consistent with the final inventory? |
| Arrange destination access | Keys, elevator booking, unloading point and receiving contact. | Who can receive the shipment if plans change? |
| Keep essentials with you | Documents, medication, valuables and supplies for several days. | Are these excluded from the loaded cartons? |
| Prepare a delay response | Update contact, temporary lodging and storage approval owner. | What is your next action if delivery is postponed? |
